It seems obvious yet very few actually do this as a method to best utilize their time. But planning and scheduling time are critical to getting what you need to do. I'd suggest planning by writing a To-Do List each week to help you plan your coming week's activities and understand what you need to achieve. From there each evening schedule your time for tasks in the coming day. Trying to plan out what you want to do and achieve during the day.2. Group Activities
A real timesaver in all aspects of life is to learn to the group or batch. Tasks together to deal with them in one go rather than separately throughout the day or week. You can apply this at work or at home. The amazing thing is that it's flexible and applicable in all aspects of life. For example, at work, if you create content for Social Media, group individual tasks, such as writing scripts or recording videos altogether, saving you time to get your head into it or set up. Likewise, if youhave an appointment in town and have to get your weekly shopping done, group them together, avoiding the need for two trips.
3. Reduce Online Activity
Surely the biggest culprit to our supposed lack of time during the day in today's world, the Internet has provided huge benefits, but also incredible distractions. Therefore, try to reduce or schedule the amount of time you spend online, resisting urges to click from reading one useful article to moving onto another that's advertised. Likewise, reducing the time on social media and turning off notifications is a great way of reducing distractions in your life, giving you more time. This isn't to say stop using it altogether if you don't want to. Just have control over the time you use it, not letting it control you.4. Reduce Decisions
During the day, we have a limited number of decisions we're able to make at our peak before our decision making starts to deteriorate as the day progresses. This can be frustrating, as it also then takes up more mental energy and time to make sound and well thought out decisions. But what if you can reduce the number of less important decisions each day? Well, the amazing thing is, you can and you do it by using the batching method described earlier. For example, decide the week's meals one day of the week, such as the day you do grocery shopping so that you don't need to worry about what you'll make and eat every day.5. Time Yourself And Review
The initial step of timing yourself isn't going to save time, but the information you get from doing so can have phenomenal benefits in your life. It is so easy for us to create a to-do list and it becomes a laundry list and then we get overwhelmed by that and then all of a sudden there's no way we're gonna be able to accomplish everything so what I would like for you to start thinking about is, yeah you can have your list but prioritize it. Pick one to two main goals and just get that done.If you're gonna focus on that and not have all those other items present in front of you, I'm not saying get rid of them but maybe put them aside and just focus on those goals, it makes a world of a difference from a time management perspective and it puts you in a positive mindset because you actually got those two core elements done. When you're done you can rotate it back on to your main list but at the present moment focus on one to two things that are critical for you to get done and don't over-schedule that list.
7. Pay Attention To Your Calendar
This actually is a common mistake I see in organizations all the time. Where people are so focused on their to-do list for today. That they're not taking a look at their calendar and what I mean by this is you have to constantly take a look at your calendar from activities. You have to do today, tomorrow, this week and even a month from now. And in my world, I actually look out months from now some times going into the next year.So that all being said is when you're trying to be really productive and really manage your time effectively. You want to focus on your one to two goals as I said on the other tip. But you have to take into account what else is coming down the pike. So don't just focus on today; integrate and look at your calendar. So you can see what else you have to do because maybe just five minutes here or a half-hour there in regards to those future activities can make a huge difference because a little bit does go a long way.
8. Don't Overwork Yourself
If you're gonna be the master of your time and learn how to manage it properly, well then you've really got to take into account how you're working. Stress levels can get really high and you don't want to constantly be plugging in things that you have to do so schedule in some rest time. That's really important, it's important to your well-being and your health and it's going to make a huge difference. Now if you're saying, Adriana, I'm so busy I can't do it, I get it. You may want to put some rules into place like if you have kids you're not gonna check any of your emails till they go to bed, okay, fine, I get it. Or you may want to say, you know what? The weekend truly is my time, Saturday there nothing, Sunday during the day there's nothing, but on Sunday evening I'm gonna prep for the following week. That's okay too, but you really got to balance it out.
9. Fit Rest Time Into Your Schedule
Have you ever heard of burnout? We all been there one time or another. If it hasn't been burning out at work, it's probably been burn out at home. Because not only do we have these time commitments and obligations from a work perspective. If you have a family I'm sure you have lots of them going on at home, too. You've got to schedule some time for yourself. Now, how is this going to help you from being a master of your time and ensuring that you're really good with your time management? It's huge! Sometimes five minutes of de-stressing can do just that. Help you de-stress and look at things in a different light. So schedule some time for yourself, you really are important. Just like on the plane, when the oxygen mask falls off. Don't put it on the kid first, put it on you, then put it on the kid. Because you can't help anybody if you yourself are not focusing on you and helping yourself. So schedule some time for yourself, you are worth it. Implement all these tips and you can manage your time better with these.
10. No Multi-Tasking
People think that they're great multi-taskers but it's been scientifically proven that we're really not built for that mentally. So trying to focus on one thing is going to make you much more productive and you have to get rid of distractions. So if you're writing turn off your phone. If you're on a Skype call, close that browser window. If you're designing, go full screen so you don't have a bunch of windows distracting you. You want to make sure that you're focusing on the task at hand and time blocking with your calendar. If you're focused on that deadline for that time block you have to do that thing that's going to be helpful.11. Set Up Rewards
Set up a reward for doing something or completing a series of tasks. It could be as little as a cookie or a walk around the block or listening to some music. Or it could be as big as a, you, know dinner out or a trip to Vegas. Give yourself a reward and set up on a reward, something to look forward to for staying focused.12. Turn Off All Notification
